Commercial Support Assistant

Advanz Pharma is looking for its future Commercial Support Assistant based in Paris for its French subsidiary.
Your main missions will be to support and assist the commercial team with administrative related tasks. You will also collaborate with the financial and medical departments.
Being autonomous and well organised will be the key skills that will allow you to succeed in this role.
Your main activity will be the organisation of events such as medical congresses and conferences (more than 40 planned in 2023). You will be working with a dynamic team of 15 people. No two days will be alike and you will never get bored as Commercial Support Assistant at Advanz Pharma.

Main purpose of this role:

Support and assist the Commercial team with administrative related tasks. Provide global support to the various departments involved in the overall Management of the French subsidiary of the Company.

Key responsibilities:

- Participate internal meetings as well as external events (congress, symposium, booth...) included:
  • Set-up all the logistics
  • Follow-up on the preparation and actual delivery of the event
  • Management of the invoicing activities
- Establish, maintain, process, and update files, records and/or other documents.
- Be the Go-to person for all parties and stakeholders related to the delivery of the event.
- Organize, update and ensure on-time distribution of the promotional material such as reprints, posters in collaboration with the Marketing department
- In charge of the collection and management of all invoices and expense reports from healthcare professionals in collaboration with Finance
- Manage inventory of assets and supplies, source for suppliers (vendors) and submit invoices
- Schedule interviews and appointments, make travel and lodging arrangements.
- Order stocks, and distribute office supplies
- Go-to-person for visitors and clients (manage customers' needs and accommodation)
- Responsible and accountable for all the logistics of the French office, including overheads (invoices, expense reports) as well support to the IT department (helpdesk)
- Perform a wide variety of assignments which may be confidential in nature and require research to complete in collaboration with the HR Department
- Welcome and direct visitors resolve routine administrative problems and answer inquiries concerning activities and operations of department/division
- Collect and distribute information to the right stakeholders: mail, fax, email, invoices
- Flag any administrative, logistic or financial issue with the appropriate department
- Go-to-person for the HR department for setting-up and following-up on procedures regarding Health & Safety and labour law

Profil recherché

  • Certificate in Business Administration
Experience & Competences:
  • Previous experience in Pharmaceutical Industry
  • Clerical, secretarial, or office experience
  • Working knowledge of general office equipment
  • Perfect knowledge of compliance and transparency laws in France

Knowledge & Skills:
  • Fluency in English and French (30% of your activity will be in English)
  • Proficient computer skills, including Microsoft Office
  • Strong verbal and written communication skills

  • Must be a good team player while being able to work autonomously.
  • Ability to multi-task and meet multiple and/or unexpected deadlines in a demanding environment.
  • Demonstrates sound judgment regarding confidential and sensitive matters.
  • Must be organized, accurate, thorough, and be able to produce high-quality work.

CDI contract
Salary: 40-45K€/year + benefits (20%)
Work-from-home: 2 days/week
Based in Paris (8ème arrondissement)
Availability: as soon as possible
